Hotshotz Tennis Coaching – Terms and Conditions
- Agreement to Terms
- By booking or purchasing any product or service from Hotshotz, you signify your agreement to these Terms and Conditions.
- No variation or addition to these Terms shall be binding unless agreed in writing by Hotshotz and the Parent, Guardian, or Adult participant.
- These Terms constitute the entire agreement between the parties and supersede all prior agreements and understandings. No statement, promise, or inducement, whether written or oral, made by either party that is not contained herein shall be binding or form part of this agreement.
- We reserve the right to modify, cancel, or append these Terms and Conditions at any time without notice. Upon renewal of sessions or purchase of any product or service, the latest Terms shall apply.
- Introductory Free Trials
- All free trials must be booked in advance by contacting us at admin@hotshotztennis.co.uk Participants not on the register will not be permitted to join.
- If you can no longer attend a free trial, please give at least 24 hours’ notice by emailing the address above.
- Payment and Fees
- Payment for the full term is required in advance via our booking system, TeamUp.
- Full payment must be made prior to the first session of the term. Late payments will incur a 5% surcharge after 14 days and 10% after 21 days.
- Pay-as-you-go (drop-in) lessons incur an additional charge of £3 per session and must be booked via TeamUp in advance. Participants not registered in advance will not be allowed to join.
- Lessons cancelled due to weather or other reasons will be credited to your TeamUp account.
- Credits are valid for 12 months. Any credits not redeemed within this period will expire.
- Waiting List
- Placement on a waiting list does not guarantee a spot in any specific session.
- Cancellation Policy
- Hotshotz reserves the right to cancel any session. Cancelled lessons will be credited to your TeamUp account for the following term.
- If you or your child are unable to attend a session, at least 24 hours’ notice must be given for the session to be credited to your TeamUp account or rescheduled as a make-up session.
- Sessions that go ahead will not be credited for non-attendance.
- All credits are non-transferable and non-refundable.
- Medical Information
- All coaches are trained in basic first aid. By accepting these Terms, you consent to first aid being administered to you/your child, including the use of plasters, EpiPens, ice packs, or personal inhalers.
- Parent/Guardian Responsibilities
- The parent/guardian or adult participant warrants that the information provided in the TeamUp account at the time of booking is accurate and up to date.
- Camps
- All camp bookings and payments must be made in advance via TeamUp.
- Children not registered prior to arrival will not be allowed to participate.
- A minimum of 48 hours’ notice is required for cancellations. Otherwise, full payment remains due.
- Any payment for cancelled camps will be credited to your TeamUp account or back to the bundle if booked as part of one.
- Tournaments
- Tournament fees must be paid in advance via TeamUp, our website, or bank transfer (BACS).
- We require 48 hours’ notice to cancel a tournament booking; otherwise, full payment will still be due.
- Cancelled tournaments will be credited on our system for future use toward a Hotshotz tournament, camp, or other event.
- Exclusions
Hotshotz reserves the right to exclude any participant from its activities if:
- You are in breach of these Terms or any other regulations provided at registration.
- You/your child’s behaviour is disruptive, unsafe, or inappropriate.
- Your conduct towards staff, other participants, or members of the public is disrespectful or harmful to Hotshotz’s reputation.
If excluded, no refunds will be provided, and Hotshotz reserves the right to collect any remaining fees due.
- Health and Injuries
- Participants are accepted on the assumption they are in good health. You must disclose any relevant medical information via TeamUp.
- We are not liable for injuries, death, or medical issues unless due to negligence by our staff.
- We are not responsible for errors or omissions on the registration form, whether completed by you or another party.
- Personal Property
- Hotshotz is not responsible for the loss or damage of personal property unless caused by our staff's negligence.
- Other Losses
- We accept no liability for delays, cancellations, or losses due to factors beyond our control (e.g., weather, transport issues, illness, strikes, terrorism, etc.).
- Use of Personal Information
Information you provide may be used to:
- Identify you when you contact us;
- Recommend relevant services or products;
- Manage your bookings and accounts;
- Conduct analysis or research;
- Prevent fraud; and
- Communicate with you (email, phone, text, WhatsApp).
Media such as photos, video, or audio may be taken during Hotshotz activities for promotional purposes. If you do notconsent, please update your TeamUp profile accordingly. Failure to do so implies consent.
- General
- These Terms, along with any signed registration forms, represent the full agreement between you and Hotshotz.
- All merchandise must be paid for at purchase. Refunds are only available for items returned in re-saleable condition or if faulty (must be returned to a coach).
- Contact
- You may contact us using the details previously provided. We aim to respond promptly to non-phone communications.
- We may contact you via phone, email, text, or WhatsApp.
- It is your responsibility to ensure we have up-to-date contact information for you and any authorised adults for pickup.
- Please inform us of any changes in health or other relevant circumstances.
- Club Membership
- If you or your child participate in regular coaching, you must also be a member of the relevant tennis club.
- Failure to obtain membership may result in removal from sessions. Registration fees will not be refunded in such cases.
- Club membership must be arranged directly with the relevant club.
